General conditions and rules of participation Spirit of Grand Route

These general conditions govern participation in driving experiences organized by Spirit of Grand Route. By making a reservation, the participant accepts these conditions in their entirety. These experiences are intended for adult automobile and sports driving enthusiasts and do not constitute training courses or competitions.

Subject of the Contract
Spirit of Grand Route organizes themed trips for motoring enthusiasts with sports vehicles, combining scenic routes, museum and circuit visits, and gastronomic experiences. The contract includes only the services detailed in the booking confirmation.

1. Included Services

The participation fee includes:

  • Participation in a group trip with the client’s private sports cars.
  • Route planning and coordination, including hotel reservations and special activities.
  • Guidance by the Spirit of Grand Route team.
  • Visits and admission to museums, facilities, or scheduled tours.
  • Event documentation (booklet, map, route sheet).
  • Logistical assistance and support en route.
  • Accident insurance for participants (see clause 6).
  • Professional photography services, when provided.

2. Not Included in the Price

  • The participant assumes the following expenses:
  • Transportation costs from/to the start or end point of the tour.
  • Fuel for your own vehicle, tolls, parking, or fines.
  • Consumptions not included in the set menus (minibar, alcoholic beverages not listed on the menu, etc.).
  • Maintenance or repair of your vehicle.
  • Any damage to third parties incurred during the trip that is not covered by their own insurance.

3. Participation Requirements

  • Drivers must be at least 25 years old and have a valid driver’s license.
  • It is mandatory to present an identity document and proof of international car insurance and travel assistance.
  • Spirit of Grand Route reserves the right to exclude those who fail to comply with basic safety rules or disrupt group coexistence.

4. Vehicles

  • Participants will use their own, duly insured vehicles.
  • Each car must be in optimal technical condition. The organization may deny participation if the vehicle has obvious deficiencies.

5. Exclusive Use and Companions

  • One ​​companion per vehicle is allowed, unless expressly limited by the event for logistical reasons.
  • Companions are welcome at all non-driving activities.

6. Insurance and Liability

  • Accident insurance is included for participants (check coverage upon registration).
  • Spirit of Grand Route does not provide insurance for private vehicles.
  • Each participant is responsible for any damage they cause to third parties or the environment, directly or indirectly.
  • In the event of wilful misconduct or gross negligence, the participant must assume all damages caused.

7. Photographs, Videos and Image Use

  • Spirit of Grand Route may take photographs and videos during the event for promotional use.
  • Participation in the event implies acceptance of the use of these images on official channels (website, social networks, etc.).
  • Participants who do not Those wishing to appear must notify the event in writing in advance.
  • The use of unauthorized drones or cameras during the activities is prohibited.

8. Cancellation, Changes, and Substitutions

  • Cancellation up to 30 days before: 80% refund.
  • Cancellation between 29 and 15 days before: 50% refund.
  • Cancellation between 14 and 7 days before: 25% refund.
  • Cancellation less than 7 days before: no refund.
  • Participant replacement with another authorized driver is permitted up to 5 days before the event, with prior written notice.
  • The organization reserves the right to cancel or modify the itinerary due to force majeure, and a full refund of the amount paid will be granted.

9. Data Protection

  • The data provided by participants will be processed in accordance with the General Data Protection Regulation (EU) 2016/679 and used exclusively for event management.

The data subject may exercise their right to access, rectify, or delete their personal data at any time.

10. Jurisdiction and Applicable Law

The contract is governed by Spanish law. In the event of a dispute, the parties shall be subject to the courts of Pamplona (Navarra), Spain, unless otherwise required by mandatory law.
